Expedia Collect vs Hotel Collect reconciliation starts with one question: who charges the traveler for the reservation? Under Expedia Collect, Expedia receives the booking payment and the property later receives its payable amount. Under Hotel Collect, the property charges the traveler and later accounts for the Expedia commission.

These models create different receivables, payment evidence, refund ownership, and ledger entries. Mixing them causes duplicate cash, unpaid commission, incorrect revenue, or a false payout shortage.


Identify the Payment Model on the Reservation

Open the current reservation in Partner Central or the connected PMS and record the payment or remittance instructions. Do not classify the booking from the guest's wording, the rate-plan display name, or another reservation at the same property.

Expedia's connectivity environment can maintain separate merchant and agency products for the same room and rate. The Expedia product model distinguishes merchant rates used for Expedia Collect from agency rates used for Hotel Collect. Use the actual reservation instructions and product ID as the control.

In some technical materials, Hotel Collect is described as Property Collect. For hotel reconciliation, both labels mean the property is responsible for collecting the applicable guest payment. Record the exact label shown on the reservation so finance and front desk use the same terminology.

Capture the Expedia itinerary or booking ID, hotel confirmation number, payment model, stay dates, final status, accommodation amount, taxes and fees, guest total, property receivable or guest collectible, commission, currency, payment instrument, and every later adjustment.


Reconcile an Expedia Collect Reservation

Expedia Collect creates an Expedia receivable rather than a guest receivable for the prepaid accommodation amount. The property may receive funds through an Expedia virtual card, bank remittance, or another method configured for the account.

  1. Confirm that the reservation is Expedia Collect and save the latest payment instructions.
  2. Rebuild the final accommodation amount from nights, rates, occupancy, and included items.
  3. Separate taxes and fees by which party collects and remits them.
  4. Record the property-payable amount shown for the booking; do not assume it equals the guest total.
  5. Apply any approved modification, cancellation, refund, no-show, or post-stay adjustment.
  6. Match the resulting amount to the virtual-card authorization, remittance line, or payout reference.
  7. Match that payment record to the processor or bank transaction.
  8. Post currency differences and payment charges separately from room revenue and commission.

For a virtual card, record the eligible amount, activation date or condition, expiry, and currency in a PCI-compliant workflow. Never store the full card number or security code in a general reconciliation sheet.

Some properties receive an Updated Expedia Collect reservation that displays the full traveler-paid amount while separately identifying what the property should collect from Expedia or remit back. Do not treat the full displayed total as the card or payout amount. Reconcile the explicit property amount and current remittance instructions.

Reconcile a Hotel Collect Reservation

Hotel Collect creates a guest receivable and a separate Expedia commission liability. The property is responsible for charging the guest under the reservation's payment and cancellation terms.

  1. Confirm that the reservation is Hotel Collect and identify the billable currency.
  2. Match the final room, tax, fee, deposit, and cancellation terms to the PMS folio.
  3. Record each guest payment, preauthorization, deposit, refund, or chargeback against the booking.
  4. Confirm the final consumed, cancelled, or no-show amount after checkout.
  5. Calculate commission using the contracted rate and correct commissionable base.
  6. Match the commission to the Expedia invoice, remittance, or account statement.
  7. Post guest cash against the folio and Expedia commission against the channel liability.
  8. Investigate any open guest balance and commission difference independently.

A preauthorization is not revenue or cash. A deposit becomes part of settlement only when captured and applied under the booking terms. If the property validates the card with a nominal charge, refund or apply that amount consistently so the guest is not charged twice at checkout.

The Property Collect payment model can include deposits, non-refundable charges, no-show fees, and late-cancellation penalties. Use the reservation's specific schedule and billable currency rather than a property-wide assumption.


Separate Revenue, Commission, Taxes, and Cash

Do not record the Expedia Collect payout or Hotel Collect guest payment as the only revenue figure. Cash movement and stay revenue are different accounting events.

For Expedia Collect, the hotel normally needs separate entries for room revenue, tax liabilities, Expedia receivable, any commission or commercial deduction, and the later cash or card settlement. For Hotel Collect, record the guest receivable and payment, then recognize the Expedia commission liability or expense separately.

Use this control for either model:

Expected property result = final accommodation revenue plus property-payable taxes and fees minus commission and approved deductions

This result still may not equal the bank amount. Currency conversion, merchant fees, transfer charges, chargebacks, and batch timing belong in separate clearing accounts.

If the PMS stores only a net Expedia Collect amount, preserve enough detail to rebuild gross stay revenue and deductions for ADR, tax, and channel-profitability reporting. If the PMS stores the gross guest amount, do not assume all of it is payable to the hotel.


Handle Modifications, Cancellations, and No-Shows

Use the latest reservation event and retain the previous version. A shortened stay, rate change, waived penalty, charged cancellation, no-show, or post-stay refund can change the payout, guest balance, commission, or invoice at different times.

For Expedia Collect, confirm whether the change updates the payable amount, virtual card, or later adjustment. Do not refund the guest directly unless the payment instructions make the property responsible for that refund.

For Hotel Collect, adjust the guest folio and collection according to the reservation terms. Then confirm whether the amount actually charged remains commissionable. A waived cancellation fee should not be treated as collected revenue merely because the original policy allowed a charge.

Always match the change timestamp with the billing or remittance cut-off. The original amount and its correction can appear in different periods.


Diagnose Common Reconciliation Differences

An Expedia Collect card is lower than the guest total. Check the explicit property-payable amount, commission treatment, taxes or fees collected elsewhere, platform-funded discounts, refunds, and any updated remittance instruction.

An Expedia Collect card declines. Verify activation timing, eligible amount, currency, expiry, merchant category, prior partial charges, and whether the latest reservation adjustment changed the authorized value. Do not retry amounts above the available balance.

A Hotel Collect booking has no guest payment. Check whether the stay is future, the rate is pay-at-property, a deposit was due, the card is invalid, or front desk failed to capture payment. This is a guest receivable issue, not a missing Expedia payout.

Commission is higher than expected. Rebuild the commissionable base and compare the final reservation status, charged penalties, taxes, fees, rate plan, and contracted percentage. Do not compare commission with net cash alone.

The same booking appears in a payout and invoice. Confirm whether the items represent different obligations, a reversal, or a model change. Do not book both as new revenue or assume one cancels the other without matching references.

The bank amount differs from the batch. Check transfer grouping, settlement currency, exchange rate, processor fees, intermediary-bank charges, value date, and split deposits before changing the reservation ledger.


Close Each Reservation With Model-Specific Evidence

A closed Expedia Collect booking should have one final reservation value, one property-payable calculation, one remittance or card record, one bank or processor settlement, and no unexplained balance.

A closed Hotel Collect booking should have one final folio, complete guest payment or approved write-off, one commission calculation, a matched Expedia invoice or statement, and no unexplained guest or channel liability.

Maintain separate clearing accounts for Expedia receivables, guest receivables, Expedia commission liabilities, payment processor settlements, and currency or bank charges. Review aged balances by booking ID rather than clearing differences at property level.

When escalation is required, provide the property ID, Expedia booking ID, payment model, product or rate-plan ID, final status, currencies, expected calculation, actual card, payout or invoice line, adjustment history, and exact unresolved difference. Redact payment credentials.
