1. Confirm the reservation in the correct Traveloka TERA property.
2. Search the whole PMS by booking ID, guest name, and stay dates—not only the arrivals list.
3. If the booking is confirmed, protect the room once while you investigate.
4. Check that the Traveloka room is connected to the correct PMS room type.
5. Ask the responsible support team to recover the booking once, then check for duplicates.
If a Traveloka reservation is not showing in your PMS, do not ask the guest to book again and do not cancel the Traveloka reservation. First confirm whether the booking is active in TERA. If it is, treat it as a real reservation while your team checks the PMS and protects the room.
The safest order is simple: confirm the booking, search the PMS, protect inventory, check the room connection, and submit one recovery request.
1. Confirm the Reservation in Traveloka TERA
Sign in to TERA and make sure you are viewing the correct property. Search for the reservation and verify:
- Traveloka booking ID
- Guest name
- Check-in and check-out dates
- Booking status
- Room type and occupancy
- Rate plan and total price
- Payment instructions
- Latest modification or cancellation status
TERA is Traveloka's partner system for monitoring bookings, check-ins, guest requests, payment status, rates, and availability. Its current homepage also shows a Booking Overview, although the exact menu labels may vary by account or region.
If the reservation is not in TERA, recheck the property and booking ID before contacting Traveloka partner support. Do not create a hotel reservation from a guest screenshot alone.
If TERA shows the booking as confirmed, record the details and continue with the next steps.
2. Search the Whole PMS
A reservation can exist in the PMS without appearing in today's arrivals list. Use the global reservation search and try more than one field:
- Traveloka booking ID
- Guest surname
- Arrival and departure dates
- Booking creation date
- Guest email or phone number, if available
Expand the date range and include all statuses. Check confirmed, pending, unassigned, modified, cancelled, archived, and duplicate reservations. If your group manages several properties, confirm that you are searching the correct property.
Also check whether the stay dates changed. A modified booking may have moved outside the original arrival window.
If you find an existing record, do not create another one. Compare it with TERA and correct the operational details through your normal hotel procedure.
3. Protect the Room Once
If TERA confirms the reservation but the PMS still has no record, protect the guest from an overbooking—especially for a same-day arrival or the last available room.

Use one approved method. Place a temporary hold on the correct room inventory, or create a clearly labelled manual reservation if your hotel's procedure requires it.
Add the Traveloka booking ID and a note such as “temporary record—awaiting channel recovery.” Copy the room, dates, occupancy, rate, and payment instructions carefully. Avoid storing payment details outside your approved process.
Do not block the same room separately in several systems. Do not send a second confirmation or payment request to the guest. Assign one staff member to remove or reconcile the temporary record after the connected booking appears.
4. Check the Traveloka Room Connection
Compare the room type shown in TERA with the PMS room type that should receive it. Check whether the Traveloka room is connected to the correct physical inventory and whether it was recently renamed, replaced, copied, or deactivated. Also review any recent connection change, visible warning, and the latest Traveloka reservation that arrived correctly for this room.
A similar room name does not prove that the connection is correct. For example, “Deluxe King” and “Deluxe Room” may represent different inventory in the two systems.
Do not reconnect every room or change several room assignments just to force one reservation through. A broad change can send future bookings to the wrong room type. If the correct connection is unclear, take screenshots and ask your PMS or channel manager provider to verify it.
5. Request One Recovery
If the reservation is confirmed in TERA, absent from the entire PMS, and the room connection appears correct, contact the provider responsible for bringing Traveloka reservations into your PMS. This may be your PMS company or channel manager provider, depending on your setup.
Send one complete request with:
- Property name and property ID
- Traveloka booking ID
- Guest name and stay dates
- Booking status and last update time in TERA
- Traveloka room and rate-plan names
- Expected PMS room type
- Screenshots from TERA and the PMS search
- Any visible connection warning
- The temporary inventory action already taken
Write the operational problem plainly: “This confirmed Traveloka reservation is visible in TERA but cannot be found in our PMS. Please recover it once and confirm when we should reconcile the temporary hold.”
Do not submit several recovery requests or repeatedly ask different teams to restore the same booking. Multiple attempts increase the risk of duplicate reservations and double inventory reductions.
After support completes the recovery, verify that only one connected PMS reservation exists, its details match TERA, and availability was reduced only once. Reconcile the temporary hold or manual record, then confirm that later modifications or cancellations reach the same PMS reservation.
6. When to Escalate Immediately
Treat the issue as urgent when the guest arrives today, only one room remains, payment instructions are unclear, several Traveloka reservations are missing, or more missing bookings continue to appear.
The front desk or reservations team should continue protecting the guest and inventory. Let the PMS or channel manager support team investigate the connection. This keeps the hotel operating while avoiding risky technical changes during a live booking incident.
Should the hotel create a manual reservation?
Only if the confirmed booking must be protected immediately and your hotel has an approved procedure. Label the record clearly and assign someone to reconcile it after recovery.
Should the guest be asked to book again?
No. If TERA shows a confirmed reservation, asking the guest to rebook can create a second charge or duplicate stay.
Who should the hotel contact?
If the booking exists in TERA but not in the connected PMS, contact the PMS or channel manager provider responsible for reservation delivery. If it does not exist in TERA, contact Traveloka partner support.
How do you know the issue is resolved?
The PMS contains one connected reservation that matches TERA, inventory changed once, any temporary hold is reconciled, and later booking changes reach the same record.
A missing Traveloka reservation is not resolved by finding a technical explanation. It is resolved when the confirmed guest is protected, the room is controlled, and one accurate reservation remains in the PMS.
