Match the Right Amounts
1. Do not compare the guest's reservation total directly with one bank deposit.
2. Identify whether the booking is Agoda Collect or Property Collect before calculating the hotel receivable.
3. Match the booking price breakdown, Finance transaction, payout batch, payment method, and bank settlement.
4. Separate commission, taxes, amendments, adjustments, partial charges, currency effects, and timing differences.

An Agoda payout mismatch often begins with two amounts that were never supposed to match. The reservation total may be the guest-facing selling amount, while the hotel's payout can reflect commission, payment model, taxes, adjustments, several bookings, or a different settlement date.

Reconcile from the booking outward. Identify who collected the guest's money, determine Agoda's booking-level amount, locate the payout batch, and only then compare the bank or card settlement with the PMS ledger.


Define the Amounts Before Investigating

Keep each amount in a separate field: the final amount shown to the guest; the reservation's room and tax breakdown; the amount the property should collect or receive; Agoda compensation or commission; any amendment, cancellation, rejection, tax, or manual adjustment; the amount included in a payout ID; the amount charged to an Agoda card or sent by bank transfer; and the amount posted in the PMS and general ledger.

Do not use "reservation total" and "payout" interchangeably in a support ticket. State the amount, currency, source page, and date for each value.

This article covers broad payout reconciliation, including bookings with no cancellation. A separate cancellation-refund review is needed when the main question is whether a cancelled stay created the correct refund or fee.


Identify Agoda Collect or Property Collect

Open the booking in Agoda Partner Portal > Bookings > Reservations and confirm the payment model.

For Agoda Collect, Agoda collects the guest payment and the hotel receives the eligible amount through its configured payout method. In the booking, open Payment & pricing > Price breakdown to review the compensation and booking amounts available to the property.

For Property Collect, the guest pays the hotel. The guest-facing total therefore should not appear as a separate Agoda payout. Instead, Property Collect compensation can be offset against prepaid amounts Agoda owes the property.

For a Property Collect booking, use Finance > All transactions and match the booking reference to the collection or compensation amount. Property Collect compensation is recorded in the Finance transaction view; do not expect the booking-page voucher to present it in the same place as an Agoda Collect amount.

Choosing the wrong payment model is the fastest way to create a false mismatch: finance may expect Agoda to remit money that the guest has already paid directly to the property.


Reconcile One Booking to Its Payout Batch

Use one booking ID and one currency throughout this sequence.

  1. Open the reservation and save its current payment model, status, dates, currency, guest total, property amount, tax treatment, and compensation.
  2. Check whether the reservation was amended, cancelled, marked no-show, or handled under different terms after booking.
  3. Open Finance > Payouts and search the booking reference among payable transactions.
  4. Review the Adjustments section before confirming the expected batch amount.
  5. If payment was already processed, open Finance > Past payouts and locate the payout ID containing the booking.
  6. Download or retain the booking-level statement for that payout.
  7. Match the payout ID to the bank transfer, virtual card, or e-Card transaction.
  8. Compare the settlement with the PMS receivable and accounting posting.

One payout ID can group several eligible bookings and adjustments. After processing, match the batch in Past payouts rather than comparing the bank deposit with only one reservation. A single deposit may cover several stays plus an adjustment from another period.

Check the Main Causes of an Agoda Payout Mismatch

The payout is lower than the guest total. Confirm whether the guest total includes commission, hotel-collected taxes, service charges, or items that do not form part of the Agoda remittance. Check the payment model before treating the difference as a deduction.

A Property Collect booking reduced a prepaid payout. Review Finance > All transactions for the compensation offset. The hotel collected the guest amount directly, while the commission can be deducted from Agoda Collect proceeds.

The booking amount changed after payment was initiated. Look for an amendment or cancellation and then inspect Adjustments. If the payout was already confirmed, reconcile the changed amount against the next eligible batch before treating it as an unpaid balance.

The batch includes an unexplained adjustment. Match the adjustment reference and reason, then classify it as an outstanding balance, overcharge, booking rejection charge, tax correction, agreed cancellation treatment, or another documented adjustment type.

Only part of the expected amount was charged. Compare the approved amount with the actual virtual-card or e-Card charge and any remaining balance. Do not create a second full charge before confirming what settled.

The bank deposit differs from the payout ID. Check transfer fees, receiving-bank deductions, currency conversion, settlement currency, value date, and whether the bank grouped or split transactions. Keep these banking differences separate from Agoda's booking calculation.

The PMS revenue equals the guest total but the Agoda receivable is net. Review accounting design. Room revenue, tax liability, commission expense, Agoda receivable, and cash receipt may require separate postings rather than one net revenue entry.


Separate Timing Differences From Real Errors

A booking can be earned in one operating period and paid in another. The stay date, cancellation date, payable date, payout confirmation date, card charge date, value date, and bank posting date are different events.

Reconcile the booking to the period required by the hotel's accounting policy, then carry the Agoda receivable until settlement. Do not move room revenue into the bank month merely to make cash match.

For batch payouts, maintain a clearing account. Post each booking and adjustment against the payout ID, then clear that ID when the bank or card transaction arrives. An unmatched balance remains visible without changing the original reservation revenue.

If an amount remains negative, check whether Property Collect compensation or a post-payment refund exceeds the payable Agoda Collect bookings currently selected. Add the next eligible transactions to the reconciliation and initiate a payout only after the selected balance is positive.

Prevent Double Posting

Do not post a manual payout correction directly to revenue while the original PMS booking, Agoda adjustment, or bank feed may still arrive. Use a temporary reconciliation item with the booking ID and payout ID.

Before closing it, confirm whether the accounting system already imported the original reservation revenue, a modification or cancellation adjustment, the Agoda payout batch, a bank or card settlement, or a manual journal entered by another employee.

One discrepancy can otherwise become two offsetting errors that disappear at property level but remain wrong by channel and period.


Escalate a Payout Difference With Evidence

Use Partner Portal's Need Help route only after isolating the Agoda-side amount. Send one package containing the property ID and booking ID, payment model and payout method, reservation and stay status, guest total, property amount, compensation, currency, payout ID, transaction reference, adjustment reference and description, and the relevant payable, confirmation, value, and bank dates. Add a redacted bank or card record and state the exact expected-versus-actual difference.

State whether the mismatch sits between reservation and Agoda transaction, Agoda transaction and payout batch, payout batch and bank, or bank and PMS posting. That directs the case to the right evidence instead of asking support to explain an entire month.
