A Booking.com reservation modification not syncing can be harder to notice than a missing new booking. The original reservation already exists in the PMS, so staff may assume it is still accurate even though the guest changed dates, room type, number of guests, price, payment details, or cancellation status.

The first task is not to repair the connection. It is to compare the latest Booking.com reservation with the existing PMS record and protect the hotel from an incorrect room count, wrong arrival date, or collection mistake.


First, Identify Exactly What Changed

Open the reservation in the Booking.com Extranet and note the current status and latest modification time. Then compare it with the PMS booking using the same confirmation number.

Check the arrival and departure dates, number of rooms, room type, guest count, guest name, rate plan, total price, cancellation terms, special requests, and payment instructions. Do not assume the modification affected only the item mentioned by the guest.

If Booking.com shows the reservation as cancelled, treat that status as urgent. The PMS may still be holding the room, showing the guest on the arrival list, or expecting payment.

If dates or room quantity increased, check whether the hotel can still honor the modified stay before accepting any manual PMS change. Contact the responsible manager if the new dates are sold out.


Protect Rooms and Guest Service

The room impact depends on the change.

For a date extension, reserve the additional nights if they are available. For a shortened stay, do not release the extra nights until the Booking.com record is confirmed and the PMS booking is corrected. For a room-type change, protect the new room before releasing the old one.

For a cancellation, confirm whether the entire reservation or only one room was cancelled. Multi-room bookings can be partially changed, and cancelling the whole PMS record would release too much inventory.

Check These Seven Items Before Making a Manual Change

  1. Use the confirmation number. Make sure the Booking.com reservation and PMS booking are the same booking, especially when a guest has several stays.
  2. Check the latest modification time. Staff may be comparing the PMS with an older email rather than the current Extranet record.
  3. Search the property inbox. Booking.com can send a fallback email when a connected system does not collect a modification or cancellation.
  4. Check the full PMS record. A note or status may have changed even when the main arrival screen still shows the old dates.
  5. Review recent channel warnings. Look for a paused connection, failed update, unknown room, or rate-plan problem.
  6. Confirm the room and rate-plan connection. A modification may move the guest to a product that is not linked correctly in the PMS.
  7. Check whether another employee already updated it. Search the booking history and shift notes before repeating the change.

Hotel managers only need a clear answer from the PMS provider: was the modification received, was it applied to the original booking, and if not, what stopped it?


Update the Original PMS Booking Safely

Use the PMS or channel manager's supported recovery option first. A recovered modification is more reliable than manual editing because it remains connected to the original Booking.com confirmation number.

If recovery is not possible and the stay needs immediate correction, update the existing PMS reservation rather than creating a new one. Record the old value, new value, modification time, and source.

For a date change, adjust both arrival and departure and confirm the correct number of nights. For a room change, assign the intended room type and review availability for both products. For a guest-count change, check occupancy limits, extra-person charges, and breakfast or tax calculations.

For a price change, copy the latest booking total and breakdown from Booking.com according to the hotel's accounting procedure. Do not change only the nightly rate if the modification also affected taxes, fees, discounts, or number of guests.

For a cancellation or no-show change, check the applicable charge and payment responsibility before adjusting the folio. Do not refund the guest directly when Booking.com collected the payment unless the reservation instructions make the property responsible.

Do not simply delete one copy. Compare the confirmation numbers, room counts, payment records, and booking history. Keep the record that remains linked to Booking.com, then merge or close the duplicate according to the PMS procedure.

The room changed, but the price did not

Compare the current Booking.com room, rate plan, and total. The new room may have a different price, occupancy, tax, or cancellation condition. Correct the complete booking, not only the room name.

The reservation was cancelled, but the PMS still shows an arrival

Protect against an incorrect check-in and review whether a cancellation fee applies. Release inventory only after confirming how many rooms were cancelled and whether the cancellation is final.

The PMS changed the dates but not the payment amount

Use the latest Booking.com amount and payment instructions. A shortened or extended stay can change what the guest owes, what Booking.com collected, or the value available through a virtual card.

Staff receive several modification emails

Use the latest current reservation in the Extranet. Apply changes in time order only when the PMS provider needs them for recovery; do not rebuild the final booking from email fragments.


Verify the Result From an Owner's View

The PMS and Booking.com should now agree on the fields that affect operations and money: status, arrival, departure, room count, room type, guest count, rate plan, total, and payment responsibility.

Check that availability changed by the correct amount on both the old and new dates. If one room moved from Friday to Saturday, Friday should be released once and Saturday should be reduced once.

Confirm the booking appears on the right arrival list and housekeeping plan. Review any automated guest message so the guest does not receive old check-in dates or a cancellation message after a valid modification.

Provide the property, confirmation number, original details, latest details, modification time, affected room and rate plan, and screenshots from both systems. State whether inventory, payment, guest messages, or housekeeping is currently wrong.

Ask whether the provider will recover the missing change. If the hotel has already corrected the booking manually, make that clear so support does not apply the same change a second time.
