Work at booking level before reviewing payout totals. A batch can balance while two individual reservations are posted incorrectly.
- Open the original reservation and record the Agoda booking ID, booked value, currency, taxes, payment model, cancellation terms, and payment method.
- Open the cancellation or amendment notice and confirm the effective timestamp, cancelled amount, fee outcome, and whether the cancellation is complete or partial.
- Check whether the property had already received, confirmed, or charged any Agoda payout for the booking.
- In Partner Portal, locate the booking under the relevant Finance area and capture its payable, paid, reversed, or adjusted amount.
- Match the transaction to its payout or remittance reference and then to the actual bank deposit, Agoda card charge, UPC charge, or Property Collect receipt.

Match the Refund to the Correct Accounting Period
The reservation date, cancellation date, original payout date, adjustment date, and bank value date may fall in different months. Choose the accounting period according to the hotel’s policy and local requirements, then retain a reconciliation bridge between operational and cash dates.
A month-end cutoff should identify cancellations recorded by Agoda but not yet reflected in a payout. It should also find refunds issued by the hotel that have no matching Property Collect liability change, and Agoda adjustments posted after the original stay period.
Avoid netting unrelated bookings in the PMS merely because Agoda offsets them in one payout. The bank receives a net amount, but finance still needs the booking-level composition: payable stays, cancelled stays, Property Collect compensation, and other adjustments.
For bank transfer, match the payout ID or batch reference to the remittance value date. For card-based settlement, match the exact authorized amount and transaction date. Differences caused by bank fees or currency conversion should remain separately identified.
Diagnose Common Agoda Reconciliation Differences
The payout is lower than the reservation report

Build the Month-End Agoda Control
Run three totals for the period: cancelled booking value, cancellation fees retained or receivable, and refunds or adjustments settled. Reconcile each total to both the PMS booking population and the Agoda finance population.
