1. Reconcile each Hostelworld booking before accepting the total commission or balance.
2. Separate the booking deposit from the amount the guest owes the hostel.
3. Match cancellations and no-shows to the policy attached to the original reservation.
4. Carry timing differences and disputes as visible open items instead of forcing the month to balance.
Hostelworld settlement reconciliation starts with one reservation, not one monthly total. Hostels need to prove how the booked value, deposit, guest balance, cancellation status, no-show charge, refund, and commission became the amounts recorded in the PMS and accounts.
The word “settlement” can be misleading because the hostel may collect part of the stay directly from the guest while Hostelworld handles a deposit or other booking amount under the property's agreement. A cancelled reservation can also produce a different result depending on its rate and cancellation deadline.
Use the property's signed terms and the individual booking confirmation as the source for each calculation. Do not apply another hostel's commission percentage or assume every cancellation should remove every charge.
Define the Amounts Before Matching Them
Create separate fields for the total booked stay, deposit collected at booking, balance due at the hostel, taxes and local charges, amount collected from the guest, cancellation or no-show charge, refund or credit, Hostelworld commission or fee, adjustments, and final hotel revenue.
Do not combine the deposit and balance into a single “payment received” figure. The booking confirmation may show a total stay value while the PMS folio should show what the hostel must collect and what has already been accounted for through the channel.
Keep the original booking currency and the hostel's accounting currency visible. When conversion is involved, record the source amount, converted amount, rate or bank result, and date used. A currency difference should not be hidden inside commission.
Finally, record the date basis for the review. The hostel may report revenue by stay date while a channel invoice, deposit record, refund, or adjustment appears by booking or processing date.
Gather One Evidence Pack for the Period
Bring together the Hostelworld reservation list, cancellation and no-show records, commission or billing record available to the property, PMS reservations and folios, guest payment records, and bank entries. Preserve the original exports and perform the matching in a controlled working copy.
Use the Hostelworld reference number as the main key. Guest names can repeat or change, and group bookings may contain several travelers under one lead name.
For every reservation, capture arrival and departure, dorm beds or private rooms, number of guests, rate type, booked total, deposit, balance due, cancellation deadline, cancellation or no-show status, guest payment, commission, refund, and any manual correction.
Assign one finance owner and one operations contact. Finance should own the monetary bridge; reception or reservations should confirm whether the guest stayed, cancelled, changed dates, or failed to arrive.
Separate Stayed, Cancelled, and No-Show Bookings
Place each reservation into its actual operational outcome before comparing money.
- Stayed: Match occupied beds or rooms, booked rate, extras, deposit treatment, guest balance collected, and commission.
- Cancelled within the permitted period: Confirm the final cancellation status, deposit or refund treatment, released inventory, and whether any hostel charge remains.
- Late cancellation: Match the policy deadline, approved charge, amount successfully collected, and any commission or adjustment treatment in the property's terms.
- No-show: Confirm the hostel marked the correct status, retained evidence of non-arrival, applied only the permitted charge, and released remaining inventory appropriately.
- Modified or partially cancelled: Rebuild the booking from its final nights, guests, beds or rooms, and price rather than cancelling the entire original amount.
Do not let several small differences offset each other. A missed cancellation and a duplicate commission line can accidentally produce the right total while both reservations remain wrong.
Smart Order can connect booking source, stay status, room or bed revenue, and the hostel's operating reports in one review workflow. Finance can investigate a difference while the front desk confirms the guest's actual outcome.
Reconcile Hostelworld Revenue With the Actual Stay
Use Smart Order to compare reservation status, occupied inventory, and recorded revenue before closing the period.
Reconcile a Cancellation in the Right Order
Start with the original reservation and preserve its booked terms. Confirm the rate type, cancellation deadline and time zone, deposit, balance, and any special flexible or non-refundable condition shown when the guest booked.
Then verify when and how the cancellation occurred. Compare the final Hostelworld status with the PMS. A guest message asking to cancel is not the same as a completed cancellation, and a cancelled channel reservation should not remain as a confirmed arrival in the PMS.
Calculate what the hostel was entitled to collect, what it actually collected, and what was refunded or credited. Keep those three figures separate. If management waived a fee, retain the approver and reason rather than changing the policy field after the event.
Finally, match the commission or fee treatment to the property's current commercial terms and financial record. If the reservation is absent, duplicated, or shown with the wrong status, dispute the specific booking rather than changing unrelated PMS revenue to make the total fit.
Match Commission at Booking Level
For each reservation, calculate the expected commission base under the signed agreement. Confirm whether taxes, local charges, meals, add-ons, cancellation fees, or no-show charges are included or excluded before applying the rate.
Do not assume the visible deposit always equals commission or that a familiar percentage applies to every product. Commercial arrangements, promotions, payment options, or later adjustments can change the financial result.
Match the expected amount to the invoice, statement, offset, or other record the hostel receives. Record the reference and accounting period. When an adjustment relates to an earlier booking, link it back to that reservation rather than reducing the current month's unrelated revenue.
If the PMS folio includes the full stay while the guest never arrived, correct the operational status and permitted revenue first. Finance should not leave a cancelled stay as occupied merely because a charge was retained.
Investigate Common Differences Without Guessing
When a figure does not match, check in a fixed order: wrong period, wrong property, missing or duplicate booking, changed dates, partial cancellation, guest count, dorm bed quantity, rate type, cancellation deadline, deposit treatment, commission base, tax treatment, refund, currency, and manual PMS entry.
State each difference clearly, including amount and direction. “Commission is higher by EUR 18 on reference X” gives the team a decision. “Hostelworld total is wrong” does not.
Keep valid timing differences open with the reservation reference, amount, reason, owner, and expected clearing period. Do not move them into a general adjustment account just to finish the month.
For a dispute, provide the booking confirmation, final status, PMS folio, guest payment or refund evidence, commission line, policy used, and the hostel's expected calculation. One complete case is easier to resolve than several disconnected screenshots.
Close the Period With Two Reviews
First complete the finance review. Every reservation must be matched, explained, or listed as an owned open item. The sum of stayed revenue, permitted cancellation and no-show revenue, deposits, guest collections, refunds, commission, and timing differences must bridge to the accounts.
Then complete an operations review. Look for recurring missed cancellations, wrong dorm-bed quantities, incomplete deposit notes, unapproved fee waivers, duplicate references, and PMS bookings that remain active after cancellation.
Have a second person approve material write-offs, large refunds, unusual no-show charges, and changes to prior periods. Archive the working file and evidence under the hostel's finance policy.
Management should receive a short summary of stayed booking value, cancellations, no-shows, deposits, guest-collected balances, commission, refunds, open differences, and the operational fixes needed before the next close.
Frequently Asked Questions
Is the Hostelworld deposit the same as the hostel's commission?
Do not assume so. Record the deposit and commission separately, then apply the property's current agreement and reservation records.
Should a cancelled booking disappear from the PMS report?
It should retain its history but show the correct cancelled status. Any valid fee or refund should remain traceable without presenting the guest as an active arrival.
Can finance reconcile only from the monthly total?
No. Offsetting errors can make the total look correct. Match every reservation, cancellation, refund, and commission item first.
What should happen to an unresolved difference?
Carry it forward visibly with the reference, amount, reason, owner, evidence, and next review date.
