Rakuten Travel Booking Not Received by Your PMS: What to Check
What to Check First

When a Rakuten Travel booking is not received by your PMS, the hotel must first protect the guest and room. A missing PMS record does not cancel a reservation that is confirmed in Rakuten Travel.

This incident is different from initial connection testing. The booking is already part of daily operations, so the manager needs a controlled decision: confirm whether it is real, prevent an overbooking, locate any partial record, and restore one complete reservation without duplicating inventory.

Do not ask the guest to book again and do not repeatedly import the same reservation. Both actions can create a second charge or a second hotel record.


Confirm the Reservation in the Correct Rakuten Property

Sign in to the property management screen and confirm the selected hotel. Search reservation records using the Rakuten reservation number. If it is unavailable, search by guest name, stay date, booking date, and room or accommodation plan.

Open the current record and confirm its status, arrival and departure, room type, plan, number of rooms, adults and children, final booked price, taxes, payment method, cancellation terms, guest contact, and latest change time.

Treat a confirmed reservation as live even if it is missing from the PMS. If the Rakuten record is cancelled, confirm the cancellation time and fee conditions before releasing inventory. If no reservation can be found, recheck the property and search range before acting on an email or guest screenshot.

Save the reservation number and a screenshot with the time zone. This becomes the common reference for the front desk, manager, system provider, and finance team.


Protect the Guest and Room Once

Check sellable availability for every night of the stay. If arrival is near, the hotel is nearly full, or the reservation uses the last room, place one documented temporary hold in the system designated by the hotel's incident procedure.

Do not reduce inventory separately in the PMS, channel manager, and Rakuten screen. Multiple holds can remove too many rooms and remain after the missing booking is recovered.

Tell the guest only what is confirmed. The hotel can acknowledge the Rakuten reservation number and say the team is aligning its internal record. Do not ask the guest to cancel, rebook, or pay again while payment responsibility is still being checked.

Escalate immediately for same-day arrivals, several missing Rakuten bookings, the last available room, unclear prepaid instructions, or a reservation that already appears twice.


Search the Entire PMS, Not Only Arrivals

Search by Rakuten reservation number first. Then use guest surname, old and current stay dates, booking date, room type, accommodation plan, and source. Include pending, cancelled, modified, unassigned, archived, incomplete, and manually entered records.

Check whether filters hide the booking. The arrivals screen may show only one property, one source, assigned rooms, or a limited date range. A modified stay may have moved to another arrival date while keeping the same reservation number.

If you find a partial record containing the Rakuten number, preserve it and add the missing information instead of creating a second booking. If two records contain the same number, stop the recovery until one person decides which record will remain and which inventory movement belongs to it.

Check the Visible Connection and Mapping Status

Open the Rakuten connection area in the PMS or channel manager. Look for information hotel staff can act on: whether the connection is active, whether the reservation is waiting for attention, and whether the booked room and accommodation plan are still linked.

Compare the Rakuten property, room, and plan with the PMS products on the reservation. Similar names do not prove that the correct codes are connected. A newly created plan can sell successfully while its booking has nowhere to land in the PMS.

Do not change a live mapping simply to force one reservation through. A rushed edit can send later bookings to the wrong room or plan. Capture the visible warning and ask the responsible provider to confirm the intended mapping before changing it.

Also check how reservations are normally delivered. If the hotel receives some Rakuten bookings by email or another manual route, a missing automatic PMS record may require the approved manual process rather than repeated recovery attempts.


Recover or Enter One Reservation Safely

Choose the recovery method based on the live Rakuten record and hotel procedure.

  1. If the provider can retrieve the confirmed booking, request one recovery and wait for the result.
  2. If arrival is close and recovery cannot finish in time, create one controlled manual PMS reservation only with manager approval.
  3. Keep the Rakuten reservation number, source, room, plan, dates, occupancy, final price, payment instructions, cancellation terms, and guest contact on the surviving record.
  4. Mark any temporary inventory hold so the person completing recovery knows whether it must be removed.
  5. Add an internal note with the time, reason, approving manager, support case, and warning that a late automatic record may still arrive.

Never invent a new selling price from today's calendar. Use the price and conditions on the confirmed Rakuten reservation. Do not change prepaid or pay-at-property instructions simply because the PMS lacks its normal payment field.


Reconcile Inventory and Payment After Recovery

Compare availability before and after the reservation is added. The booked room pool should decrease once for every affected night. Remove the temporary hold only after confirming the recovered or manual reservation already protects the room.

Review whether several Rakuten plans share the same room inventory. The booking should reduce the physical room pool, not create separate deductions for the base plan and promotional plan.

Then confirm payment responsibility. Record the booked total, taxes, guest payment method, amount due at the property, and any channel-collected amount shown on the reservation. Front desk should not charge a guest twice because the manual PMS record was created without complete payment notes.

If the booking includes points, a coupon, meals, or another benefit, retain it on the PMS notes used by front desk and finance. A room can be operationally protected while the guest experience and financial record are still incomplete.


Verify the Full Reservation Loop

Search the PMS again by the Rakuten reservation number and confirm that only one active record remains. Compare status, dates, room, plan, guests, price, taxes, payment, cancellation terms, and contact details with Rakuten.

Check availability for every night. Then review the next modification or cancellation on the same reservation carefully. It must update the surviving PMS record rather than create another booking or leave inventory behind.

Keep the case open until the hotel knows why the booking was missed and what will prevent the next one. A recovered reservation solves the guest risk; it does not by itself solve a broken notification route, unmapped plan, or inactive connection.


What to Give the Responsible Support Team

Provide the property name and ID, Rakuten reservation number, guest name, booking and stay dates, room and plan, booking time with time zone, and screenshots of the Rakuten record and PMS search.

Add the last normal Rakuten booking, visible connection warning, current mapping names, temporary hold, manual record, and every recovery attempt already made. Ask for one clear answer: where the reservation stopped and which single action will place it on the correct PMS record.

Hotel managers do not need to interpret technical message records. They do need to provide a complete timeline and avoid making additional changes while the case is reviewed.
