How to Connect Traveloka to a Channel Manager: A Pre-Launch Checklist
What You'll Learn
1. Stabilize the property's TERA room and rate structure before requesting the channel connection.
2. Approve every room and rate-plan mapping, then decide which system controls inventory, rates, and restrictions.
3. Open only a small test range and launch after the PMS, channel manager, TERA, and guest view agree.

A reliable Traveloka channel manager setup begins before anyone switches on the connection. The hotel's room types, rate plans, policies, and inventory ownership must already be clear in Traveloka TERA and in the PMS or channel manager.

The purpose of this checklist is not to explain integration technology. It gives an owner or manager the evidence needed to decide whether the property is safe to launch.

This article focuses on pre-launch setup. It does not repeat the room-by-room audit used to repair an existing availability mismatch, and it does not explain how to change rates or create Traveloka promotions.

Confirm the Property Is Ready for a Connection

The Traveloka listing should be active or at the stage where connectivity can be approved. Confirm the correct property ID, legal property name, contract status, payment details, and access to TERA.

Review the public room content before mapping. A room with the wrong capacity, bedding, meal inclusion, or cancellation terms should be corrected before the channel manager starts sending availability.

Name one hotel-side owner for the launch. That person does not need to be technical, but must be able to approve room relationships, rate-plan meaning, inventory levels, and the final go-live decision.

TERA menu labels and connection steps can vary by market, property type, account permission, and connectivity provider. Use the same operational controls below even when the screen names differ.

Complete the Traveloka Channel Manager Setup Checklist

Do not open inventory while room and rate relationships are still being discussed. Complete each item and keep evidence of the result.

  1. List every sellable room type. Match the PMS room name, Traveloka room name, capacity, bedding, and number of physical rooms. Flag duplicate or outdated Traveloka rooms instead of mapping them by guesswork.
  2. List every rate plan for each room. Record room-only, breakfast, refundable, non-refundable, occupancy-based, and any other active offer. Confirm the policy and inclusion behind each plan.
  3. Choose the source of truth. Decide whether the PMS or channel manager will control Traveloka rates, availability, stop-sell, minimum stay, and other supported restrictions. Staff should know which values remain managed in TERA, such as channel-specific promotions.
  4. Request the connection. Select or confirm the connectivity provider through the process available to the account. The hotel, provider, and Traveloka may each need to approve or enable part of the connection before data can move.
  5. Approve room mappings. Connect one PMS room type to the equivalent Traveloka room. Do not map similar names when capacity, bedding, or inventory pools are different.
  6. Approve rate-plan mappings. Pair plans with the same meal, cancellation, payment, and occupancy meaning. Never connect a flexible plan to a non-refundable Traveloka offer simply because the prices look similar.
  7. Load a controlled test range. Use future dates with low operational risk. Send a small, known inventory quantity and a recognizable test rate rather than opening the full calendar immediately.
  8. Test the controls the hotel will use. Change one rate, one availability quantity, and one supported restriction. Confirm each result in the channel manager, TERA, and the live guest search.
  9. Confirm reservation delivery. Use an approved test booking or the provider's supported test method. Verify that one Traveloka booking creates one PMS reservation and reduces the intended room inventory once.
  10. Sign off before full launch. Record the mapped rooms and plans, passed tests, unresolved limits, emergency closure method, support contacts, and the manager who approved opening more dates.

This checklist turns "connected" into a business decision. A connection is not ready merely because the provider name appears in TERA.

During launch, the biggest risk is an employee changing the same inventory in two places. Smart Order gives managers one operating view for mapped channel availability and reservations, so the team can see the result of the Traveloka connection before expanding the selling window.

Check the Mapping by Meaning, Not by Name

Room names are labels; the inventory pool is the business reality. Two rooms called "Deluxe" may have different beds, capacities, views, or physical stock. Mapping the wrong pair can sell a room the hotel cannot honor.

Rate plans require the same care. Compare meal inclusion, cancellation terms, payment timing, occupancy, taxes, and whether the price is derived from another plan. A correct room mapping with a wrong rate mapping still creates a guest-service problem.

If a Traveloka room or plan has no equivalent in the PMS, keep it closed. Decide whether to create the missing product, retire the Traveloka offer, or manage it separately with an explicit owner.

Test a Small Selling Window

Choose dates far enough in the future to avoid disrupting near-term arrivals and quiet enough that staff can watch them. Start with one or two room types and a small quantity.

Send one rate that is easy to recognize, then check the guest-facing price after taxes, occupancy, and any active Traveloka promotion. The stored base rate and the final guest price may differ for valid commercial reasons.

Change availability from one known quantity to another. Confirm the same date and room show the new amount in every operating view. Then apply and remove one restriction the hotel expects to use after launch.

If a test fails, stop expanding the date range. Record the exact room, rate plan, dates, expected result, visible result, and time of the last action. Fix one relationship before repeating the test.

Decide Whether the Property Can Go Live

The property is ready when every active room and rate plan has an approved mapping, the controlling system is documented, test changes appear correctly, and one reservation can complete the expected workflow.

Do not launch with an unidentified room, a plan with the wrong policy, or a test booking that required an unexplained manual correction. Those are open risks, not minor setup details.

After approval, expand inventory in stages. Recheck near-term dates, peak dates, closed dates, and different occupancies before opening the entire calendar.

Keep TERA access even when daily rates and inventory come from the channel manager. The hotel still needs it to confirm reservations, review the guest view, manage channel-specific items, and handle a connection interruption.

Plan the First 72 Hours

Review new Traveloka reservations several times during the first days. Confirm that each booking appears once in the PMS and removes the correct inventory.

Compare a sample of guest-facing rates with the hotel's intended rate and inclusions. Review any warnings or manual changes before the next shift takes over.

Do not treat the first successful booking as proof that every room is correct. Continue checking each mapped product until all live room and rate combinations have produced the expected result.

Frequently Asked Questions

Does Traveloka work with channel managers?

Traveloka TERA supports connections with various channel managers. Availability depends on the provider, market, property account, and approval process.

Should the hotel connect before finishing room setup?

No. Stabilize room types, rate plans, capacities, policies, and inventory pools first. Otherwise the team may map products that are still changing.

Can staff keep editing inventory in TERA?

Emergency manual changes may be necessary, but staff should follow a written rule. Normal inventory should be changed in the system assigned to control the connection.

Are Traveloka promotions managed by the channel manager?

Not always. Treat promotions as a separate commercial layer and confirm which settings remain in TERA. Do not assume a base-rate connection controls every guest discount.

What proves the connection is ready?

Approved mappings, successful rate and inventory tests, correct live offers, and one reservation delivered once to the PMS provide the minimum launch evidence.
