Hotel PMS Data Access, Exports and Exit Terms Before Switching

Before choosing or changing a hotel PMS, obtain a written data-access and exit plan and test the required export with sample records. A download button is useful only if the resulting files contain the information the hotel needs and the receiving system can use it.

Smart Order documents reservation work from a mobile dashboard on its front-desk page. Its pricing page separates the free Essential core from OTA and booking-engine add-ons and the Professional operating features. Confirm the current scope for your own property before buying.

Which reservation data should a hotel verify?

List future and current reservations, guest contact details, booking references, room mappings, rates, payment references and cancellation states that matter to operations. Ask which records can be exported, by which staff role and in which formats. Keep payment-provider records and documents outside the PMS in their own transfer plan. Do not assume every field transfers because a reservation list can be downloaded.

What formats and exit terms matter?

Request sample files and a field description. Check character encoding, dates, currencies, references and the treatment of amendments and cancellations. Ask about export charges, assistance, timing, account access after cancellation, retention and deletion terms. The reviewed product descriptions do not establish a universal export format or a no-fee exit promise for every Smart Order account.

Demonstrate a small transfer

Use authorized sample information and agree the scope with both suppliers. Export the required records, import them into a test environment where available and compare the results with the source. Have a colleague verify representative future stays, balances and cancellation states. Resolve mismatches before moving the working operation.

Plan the cutover

Agree who records changes received during the transition and how they are reconciled. Name the person who approves room mapping and the final reservation comparison. Keep an agreed fallback until the new workflow is verified. Confirm when each supplier becomes responsible for live channel connections and avoid assuming that account closure automatically transfers them.

Owner access and staff permissions

Ask the proposed supplier to show which authorized role can obtain the hotel records and how access is removed for departing staff. Confirm the process for requesting data while the account is active and after service ends. Keep those responsibilities in the contract rather than depending on an individual employee account.

Japan and Thailand

Have local colleagues check guest names and the date and currency conventions used by the property. Include Japanese, Thai or Chinese text in an agreed sample when the hotel uses those languages. Confirm lawful handling and retention separately with the responsible adviser; successful file transfer is not a compliance certification.

Your next step

Bring your room types, current booking sources, staff roles and an example of the workflow that causes difficulty. Ask for a demonstration against that example and written terms for the proposed setup.
