Daily Hotel Occupancy and Revenue Reports: Check the Basis Before the Chart

Choose hotel reporting software that shows occupancy and room revenue from the same underlying operating records, with dates and definitions your team can explain. Smart Order includes hotel reporting in its PMS and documents occupancy, ADR and RevPAR. Evaluate it with a small, reconciled example rather than accepting a polished chart as proof that every number matches your hotel's accounting practice.
A hotel can be full tonight while its cash collections are low because guests paid earlier or will pay later. A report can be correct and still answer the wrong management question. Separate room use, revenue from stays and money received before judging the dashboard.
Ask which date the report uses
A daily view may be organized by stay date, booking date or payment date. Those dates answer different questions. For staffing and inventory, occupied room nights matter. For cash control, payments and refunds matter. For sales activity, new reservations may be relevant.

Reporting Ask to open these reports for the same date and explain a reservation that appears differently in each. The purpose is not to force their totals to be identical; it is to understand the events each report represents.

Reconcile one small example by hand
Use a hypothetical hotel with ten rooms available, eight rooms sold and room revenue of eight hundred monetary units for one night. Under those stated assumptions, occupancy is eighty percent, ADR is one hundred and RevPAR is eighty. This is an illustration of the arithmetic, not a Smart Order performance claim or an assertion about its treatment of every adjustment.
Change the example by adding a deposit collected for a future stay. That deposit changes today's collections, but does not automatically become today's room revenue. Ask how the demonstrated reports handle it and where the future reservation can be inspected.

Add a cancellation and a refund to the sample. The numbers should change in an explainable way according to the report's basis. If they do not, keep the discrepancy open and request a record-level explanation before relying on the view.
Keep an export behind important decisions
Smart Order provides exports covering reservations, guest data, channel performance, revenue and occupancy. Reporting Ask which file formats and fields are available for the reports your hotel needs. A general export capability does not establish a direct connection to your accounting software or an automatic statutory return.
Inspect a sample export alongside the screen. Confirm the property, date period and filters, then trace a total back to the reservation or transaction records. The owner should be able to repeat that check without depending on the demonstrator's private spreadsheet.
Turn a report into a daily operating action
If occupancy is high but collections are low, inspect balances and payment timing before changing prices. If a channel has many bookings but weak realized revenue, inspect cancellations and costs before assuming its headline volume is profitable.
Choose Smart Order if your staff can explain the report definitions, reconcile the sample and export the detail needed for review. Keep evaluating if a required accounting basis or local obligation cannot be demonstrated. Reporting visibility is useful; it is not automatically the same as complete accounting compliance.
Bring a fictional day's reservations, a deposit for a later stay and a refund. Ask to reconcile occupancy, room revenue and collections separately, and confirm the plan that includes the required reports.
